The first message your tenant receives after signing the lease shapes their entire perception of how the tenancy will be managed. A generic "here are the keys" handoff leaves tenants uncertain about how to pay rent, where to submit maintenance requests, and what the house rules actually mean in practice. A well-structured welcome letter answers these questions before the tenant asks them, reducing friction, reducing violation notices, and establishing you as a professional landlord from day one.

What Is a Tenant Welcome Letter?

A tenant welcome letter is a written communication from a landlord or property management company to a new tenant that introduces key contacts, explains operational procedures (rent payment, maintenance requests, emergencies), summarizes important lease terms, and conveys a professional welcome. It is typically sent within 24 hours of lease signing and before the move-in date.

The welcome letter is not a legal notice, it doesn't replace any notice required by your lease or state law. It is a relationship document that reduces misunderstandings by putting practical information in writing before the tenant needs it.

When to Use This Template

  • Within 24 hours of lease signing. The sooner tenants receive this information, the fewer questions arise at move-in
  • When onboarding self-managed tenants. Particularly valuable if you don't have a formal property management system
  • When handing off to a new property manager. Send a welcome letter introducing the new point of contact
  • After a change in management policy. Notify existing tenants of new payment systems, maintenance procedures, or contact information

What to Include in a Tenant Welcome Letter

1. Warm introduction. Brief, professional welcome. Acknowledge they've made a good choice. Don't be effusive.

2. Key contacts. Names, phone numbers, and emails for: primary landlord/property manager, after-hours emergency contact, maintenance request submission.

3. Rent payment instructions. Due date, grace period, accepted methods, and where to pay. Include portal link if applicable.

4. Maintenance request process. How to submit (form, portal, email), response timeframes by urgency level, and what qualifies as an emergency.

5. Move-in logistics. Key pickup location and time, parking for moving trucks, utility setup instructions.

6. Critical lease highlights. Guest policy, pet policy, smoking policy, noise rules, alterations policy. Don't re-state the entire lease, just the policies tenants most commonly violate inadvertently.

7. Move-in inspection reminder. Remind them to complete and return the condition report within the required timeframe (typically 3-5 days of move-in per the lease).

8. Upcoming calendar items. First rent due date, move-in inspection scheduling window, any building or community events.

How to Customize This Template

Emergency contact specifics: The single most important field in this letter is your emergency contact. If a tenant can't reach anyone when there's a gas leak at 2 AM, they're calling 911 and the utility company, and your liability exposure increases significantly. Name a specific person with a specific after-hours number, not a general voicemail.

Maintenance portal vs. email: If you use a property management platform (AppFolio, Buildium, Rentec Direct), link the tenant portal directly. Tenants who submit requests through a platform generate automatic timestamps, work orders, and status updates, which eliminates almost all disputes about "I submitted a request and you never responded." If you manage without a platform, set up a dedicated maintenance email address so requests don't get lost in a personal inbox.

Lease highlights length: The lease summary section should not exceed one page. Your goal is to surface the 5-6 policies that new tenants most commonly violate unknowingly, not to re-state the entire lease. If tenants feel like the welcome letter is another contract to read, they won't read it.

Common Mistakes

Sending the welcome letter too late. A welcome letter sent the day before move-in gives the tenant no time to set up utilities, plan parking for the moving truck, or prepare their condition checklist. Send it the day the lease is signed, not the day before move-in.

Leaving out payment specifics. The #1 source of first-month disputes is ambiguity about when rent is due and what payment methods are accepted. Don't say "rent is due on the first", say "rent of $[AMOUNT] is due on the 1st; a $[AMOUNT] late fee applies after the [X]-day grace period; payment may be made by [SPECIFIC METHODS] at [SPECIFIC LOCATION/PORTAL]."

Not following up on the move-in checklist. Sending the welcome letter with a checklist does no good if you don't track whether the tenant returned it. Set a calendar reminder for 5 days after move-in to follow up on any unreturned checklists. An unsigned checklist means you have no baseline, which is a significant disadvantage in deposit disputes.
