The average rental unit in a mid-sized market competes with 25-40 other listings in the same price range. Prospective tenants spend less than 8 seconds on initial scan before deciding whether to click through. A description that leads with "Spacious 2BR/1BA apartment in a great location", the same opening used by roughly 40% of listings, generates 34% fewer inquiries than one that leads with a specific, differentiated benefit ("South-facing living room with floor-to-ceiling windows, 6-minute walk to the Green Line").

What Makes a Rental Listing Description Work?

A high-performing rental listing description does three things: surfaces the property's strongest differentiator in the first sentence, uses specific rather than generic language throughout, and ends with a clear call to action. It answers the questions every prospective tenant asks silently: "Why should I pick this over the unit next door?" and "What do I do next?"

Most rental listing descriptions fail because they describe the unit rather than sell it, listing features without benefits, using filler adjectives ("charming," "cozy," "spacious") that apply to any unit, and omitting the details that actually matter to tenants (commute time, laundry situation, parking specifics).

When to Use This Template

  • Every time you list a vacant unit. Don't recycle last year's listing without updating it
  • When you're getting few inquiries despite reasonable pricing. The description is usually the culprit before pricing
  • For multi-unit properties. Each unit should have its own tailored description, not a generic "Unit X of the above"
  • When listing on Zillow, Apartments.com, Facebook Marketplace, or Craigslist. Platform character limits and formatting requirements vary; adapt accordingly

What Every Rental Listing Description Needs

1. A lead sentence with a specific differentiator. What is the one thing about this unit that a qualified tenant will care most about? Commute access, outdoor space, in-unit laundry, specific school district, parking included, pets welcome. Lead with it.

2. Unit specs in the second sentence. Bedrooms, bathrooms, square footage. These are table stakes; don't lead with them.

3. Top 3-5 features with specific details. Not "updated kitchen", "quartz countertops, stainless appliances, and a 6-burner gas range." Not "close to transit", "4-minute walk to the [STATION] station on the [LINE]."

4. Neighborhood context (2-3 sentences). What is the lifestyle? Walkable, quiet, near parks, restaurant district, specific schools? Give prospective tenants a mental image of their daily routine.

5. Practical details. Parking (assigned vs. street, garage vs. lot), laundry (in-unit, in-building, or laundromat), pet policy, utilities included, storage.

6. Lease terms. Move-in date, lease length, security deposit. Listing these upfront filters out unqualified inquiries.

7. Call to action. Tell the tenant exactly what to do next: "Message to schedule a showing" or "Apply at [LINK]." Don't end with nothing.

What makes this unit stand out:

  • [SPECIFIC FEATURE 1]: [WHY IT MATTERS] Example: In-unit washer/dryer, no laundromat trips or shared machines
  • [SPECIFIC FEATURE 2]: [WHY IT MATTERS] Example: Assigned covered parking, [CITY] parking permits don't apply
  • [SPECIFIC FEATURE 3]: [WHY IT MATTERS] Example: South-facing windows, flooded with natural light all day
  • [SPECIFIC FEATURE 4, IF APPLICABLE]

The neighborhood: [2-3 sentences on walkability, transit, restaurants, schools, parks, vibe.] Example: "Steps from [NEIGHBORHOOD] coffee shops, restaurants, and the [PARK] farmers' market on weekends. [GROCERY STORE] is a 3-minute walk; [SCHOOL NAME] is the assigned elementary school for the district."

How to Customize This Template

Lead with what's different, not what's standard: Every 2-bedroom unit in your market has a kitchen and a bathroom. Don't open with those. What specifically distinguishes this unit? In-unit laundry (missing from 60% of rentals in most markets), private outdoor space, a specific view, a specific school district, proximity to a specific employer, pet-friendliness. If nothing distinguishes your unit, your first job is pricing, not copywriting.

Quantify the commute: "Close to transit" means nothing. "4-minute walk to the Blue Line" is something a prospective tenant can fact-check on Google Maps and confirm against their own commute. Specific commute times convert at 2-3x the rate of vague proximity statements.

Never use fair housing violation language: Illegal listing language includes any reference to preferred tenant demographics, "ideal for young professionals," "perfect for families," "quiet building" (which can code for no children). Use HUD's Fair Housing advertising guidelines. When in doubt, describe the property, not the desired tenant.

Common Mistakes

Using filler adjectives with no content. "Charming, cozy, beautiful apartment in a wonderful neighborhood" tells a prospective tenant nothing about whether the unit fits their life. Every adjective in a listing description should be backed by a specific feature. "Cozy" → "650 sq ft with a wood-burning fireplace and heated bathroom floors." "Beautiful" → "Refinished hardwood floors and exposed brick throughout."

Burying the important details. Lease terms, pet policy, and parking situation are the first things many prospective tenants check. Putting them at the bottom means qualified tenants may not reach them before they move on to the next listing. Include practical details in the second half of the description, not a footnote.

Not updating stale listings. A listing that's been up for 30+ days starts to look like a problem property, "why hasn't it rented?", even if the real issue is pricing or photos. Remove and re-list with a refreshed description and updated photos if the unit hasn't rented in 3 weeks. Platform algorithms also deprioritize older listings in search results.
